School Central® is a service of Mustard Seed Software Inc. (“School Central,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, and protect information through schoolcentral.com, app.schoolcentral.com, and related School Central services collectively referred to as the “Services.”
School Central provides school management software for schools, administrators, teachers, staff members, and families. Customer schools may have their own privacy policies and legal obligations relating to information they enter into School Central.
1. Information We Collect
Information You Provide to Us
We may collect information you provide when you:
- Request a walkthrough, contact us, or submit another website form;
- Create or use a School Central account;
- Communicate with our support team;
- Enroll a student, complete a school form, or use another feature provided through a customer school; or
- Enter, upload, or manage information within the School Central platform.
Depending on how the Services are used, this information may include:
- Names, email addresses, phone numbers, and mailing addresses;
- School, organization, role, and account information;
- Student and family information;
- Enrollment applications and related records;
- Attendance, grades, report cards, classes, and academic information;
- Tuition charges, balances, payment records, and billing information;
- Communications, support requests, and information submitted through forms; and
- Other information a school or authorized user chooses to enter into the Services.
Google Authentication Information
When you choose to sign in with Google, School Central may receive basic account information authorized by you, such as your name, email address, Google account identifier, and profile image. We use this information to authenticate you, create or connect your School Central account, and provide secure access to the Services.
We may store this basic Google account information as part of your School Central account for as long as reasonably necessary to maintain and provide that account. We do not sell Google user data or disclose it to third parties except to service providers necessary to operate and secure the Services, when directed by the user, or when required by law.
School Central does not use Google authentication to access your Gmail messages, Google Drive files, Google Calendar, contacts, or other Google Workspace content.
School Central’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
We do not use Google user data for targeted advertising, personalized advertising, credit decisions, data brokerage, or the training of generalized artificial-intelligence or machine-learning models.
Payment Information
Payments made through School Central may be processed by Stripe or another payment processor. Payment processors may collect payment-card, bank-account, transaction, and identity-verification information according to their own privacy policies.
School Central does not store complete payment-card or bank-account numbers. We may receive limited transaction information, such as the payer’s name, payment amount, payment date, transaction status, and processor-assigned identifiers.
Information Collected Automatically
When you use the Services, we and our service providers may automatically collect information such as:
- Internet Protocol address;
- Browser and device type;
- Operating system;
- Pages viewed and features used;
- Referring pages;
- Login, activity, diagnostic, and security logs; and
- Approximate location derived from an Internet Protocol address.
We may use cookies and similar technologies for authentication, security, user preferences, website functionality, analytics, and service improvement.
2. How We Use Information
We may use information to:
- Provide, operate, maintain, and improve the Services;
- Authenticate users and manage accounts;
- Provide enrollment, records, billing, attendance, grading, reporting, and communication features;
- Process and record transactions;
- Configure and support customer schools;
- Respond to questions, walkthrough requests, and support inquiries;
- Communicate about accounts, service updates, security, and administrative matters;
- Detect, investigate, and prevent fraud, misuse, security incidents, and technical problems;
- Enforce our agreements and protect our rights and the rights of others;
- Comply with legal obligations; and
- Develop and improve School Central’s functionality.
We do not sell or rent personal information.
3. Student and School Information
Customer schools determine what student, parent, teacher, staff, and school information is entered into School Central. School Central processes this information to provide services to the customer school and its authorized users.
Customer schools are responsible for:
- Determining which information is entered into School Central;
- Providing any legally required notices;
- Obtaining any necessary permissions or consents;
- Managing user access and permissions; and
- Responding to requests relating to student education records.
Where applicable, School Central uses student information only to provide and support the Services requested by the customer school. We do not use student information for targeted advertising or sell student information.
Parents, guardians, students, and school employees seeking access to, correction of, or deletion of information maintained by a school should normally contact that school first. We will assist the school with an appropriate request when reasonably necessary.
4. How We Disclose Information
We may disclose information in the following circumstances:
Customer Schools and Authorized Users
Information may be available to the school and to administrators, teachers, staff members, parents, guardians, or other users authorized by the school, depending on their assigned roles and permissions.
Service Providers
We may disclose information to companies that help us operate the Services, such as hosting, cloud infrastructure, authentication, email, analytics, technical support, security, and payment-processing providers.
These providers may use information only as necessary to provide services to us or as otherwise permitted by their agreements and applicable law.
Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law, legal process, or governmental requests;
- Investigate fraud, misuse, security incidents, or violations of our agreements;
- Protect the rights, property, or safety of School Central, our users, schools, students, or others; or
- Establish, exercise, or defend legal claims.
Business Transactions
Information may be disclosed as part of a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction. Any successor would remain subject to applicable privacy obligations concerning the information it receives.
5. Data Retention and Deletion
We retain information for as long as reasonably necessary to:
- Provide the Services;
- Maintain customer and user accounts;
- Fulfill the purposes described in this Privacy Policy;
- Follow the instructions of a customer school;
- Maintain appropriate business, financial, security, and audit records; and
- Comply with legal obligations and resolve disputes.
Retention periods may vary depending on the type of information, the school’s instructions, contractual requirements, and applicable law.
When information is no longer reasonably needed, we may delete, anonymize, or securely dispose of it. Some information may remain temporarily in backups or be retained when required for legal, security, fraud-prevention, or recordkeeping purposes.
You may request deletion of your School Central account or personal information by contacting us. When information is controlled by a customer school, we may refer the request to that school or require its authorization before making changes.
Revoking School Central’s access through your Google Account removes School Central’s current Google authorization. It does not automatically delete your School Central account or information previously stored in it. You may contact us separately to request deletion.
6. Information Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards may include access controls, encrypted transmission, authentication measures, logging, monitoring, backups, and restrictions on employee and service-provider access.
No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.
7. Your Choices
Depending on your relationship with School Central and applicable law, you may be able to:
- Review or update your account information;
- Request access to personal information we maintain about you;
- Request correction or deletion of personal information;
- Opt out of nonessential promotional communications;
- Control certain cookies through your browser settings; or
- Revoke School Central’s connection through your Google Account settings.
Some requests may need to be submitted through or approved by the customer school that controls the information.
We may need to verify your identity before processing a request. Certain information may be retained when required by law or reasonably necessary for security, fraud prevention, contractual obligations, or recordkeeping.
8. Children’s Privacy
School Central is designed for use by schools, school personnel, parents, guardians, and other authorized users. It is not intended for children under 13 to create accounts or submit personal information independently.
School Central may process information about children, including children under 13, when that information is provided or authorized by a school, parent, or guardian for legitimate school-administration and educational purposes.
If you believe a child under 13 has independently submitted personal information to School Central without appropriate authorization, please contact us so that we can investigate and take appropriate action.
9. Third-Party Services and Links
The Services may contain links to or integrations with third-party websites and services. Those third parties maintain their own privacy practices, and this Privacy Policy does not govern information collected directly by them.
We encourage users to review the privacy policies of third-party services they use.
10. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our Services, data practices, or legal obligations.
When we make changes, we will post the revised policy and update its effective date. When appropriate, we may provide additional notice through the Services or by email.
